Privacy Policy

Vroxile (“we”, “our”, or “us”) is committed to protecting your privacy. This Privacy Policy outlines how we collect, hold, use, and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. The Information We Collect

We collect personal information necessary to provide our software-as-a-service (SaaS) platform. This falls into two categories.

1.1 Information you provide directly to us — Account details: your name, email address, billing address, and phone number. Payment details: processed securely via our payment gateway (Stripe). We do not store full credit card numbers on our servers.

1.2 Information you process on behalf of your clients (Customer Data) — Because Vroxile provides scheduling and invoicing tools, you may input personal data belonging to your clients, including their names, email addresses, physical addresses, and appointment details.

When you input your clients’ data into Vroxile, you remain the “Data Controller” of that information. You warrant that you have obtained the necessary consent from your clients to enter their data into our system.

2. How We Store and Secure Data

We take data security seriously and implement robust technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.

Hosting — All Vroxile data, including your clients’ data, is stored on secure Amazon Web Services (AWS) servers located strictly within Australia.

Encryption — Data is encrypted at rest and in transit using industry-standard protocols.

3. How We Use and Disclose Information

We only use or disclose personal information for the primary purpose for which it was collected, or for reasonably expected secondary purposes.

3.1 Primary Uses — To provide, operate, and maintain the Vroxile platform; to process subscription payments and manage your account billing via Stripe; to execute automated workflows initiated by your account activity, including generating and automatically transmitting final invoices to your clients once a job is marked as completed; and to send essential transactional notifications and communications (e.g. booking confirmations, system updates, and password resets).

3.2 Third-Party Sub-Processors — To provide our service, we share limited necessary data with trusted third-party service providers, including Stripe (for secure payment processing and subscription management) and our email delivery provider (for transactional emails and notifications).

4. Cross-Border Disclosures (APP 8)

While our core AWS servers are located in Australia, some of our third-party service providers may process or route data through servers located overseas (primarily the United States). By using Vroxile, you consent to the disclosure of information to these overseas recipients, on the understanding that we only partner with reputable vendors who maintain strict data protection standards.

5. Artificial Intelligence and Automated Decision-Making

Vroxile utilises artificial intelligence and automated systems strictly for administrative and operational efficiencies, such as optical character recognition (OCR) for receipt scanning and text-generation tools to assist with drafting quotes and invoices.

We do not use computer programs, algorithms, or artificial intelligence to make automated decisions that could reasonably be expected to significantly affect the rights, interests, or access to services of any individual (such as automated service denials, dynamic pricing, or fraud profiling). All critical decisions regarding your account, and the data you process on behalf of your clients, remain subject to human oversight.

6. Data Breaches

In the event of an eligible data breach that is likely to result in serious harm to any individual whose personal information we hold, we will notify you and the Office of the Australian Information Commissioner (OAIC) in accordance with the Notifiable Data Breaches (NDB) scheme.

7. Access, Correction, and Deletion

Under the APPs, individuals have the right to access the personal information we hold about them and request corrections or deletion.

Account holders — You can update or delete your personal account information directly within your Vroxile dashboard. To request complete deletion of your account and associated data, please contact us.

Your clients — If a client of yours requests access to or deletion of their data, you can fulfil this request directly using the tools provided within Vroxile. If you require technical assistance to permanently delete specific client records, please contact our support team.
